1. Overview
Retrayce is an AI-powered student incident documentation and support platform currently operating as a free pilot program for K-12 schools and special education programs. This Privacy Policy describes how we collect, use, and protect information during this pilot phase.
We are committed to protecting the privacy of students, educators, and school staff. We understand that the information processed through our platform is sensitive and we treat it with the highest level of care and responsibility.
Plain language summary: We are in a pilot phase. We collect only what is needed to provide the Retrayce service. We never sell student data. We never use student data for advertising. Schools own their data at all times and can request deletion at any time.
2. Pilot Program
Retrayce is currently in a free pilot program phase. During this period the platform is provided at no cost to participating schools in exchange for honest feedback and product insights. As a pilot program participant you acknowledge that:
- The platform is in active development and features may change
- You will provide honest feedback to help improve the product
- No payment is required or expected during the pilot period
- Either party may discontinue participation at any time
- All data collected during the pilot is subject to this Privacy Policy
Pilot participants will be notified before the program transitions to a paid subscription model. Any data collected during the pilot will remain protected under the terms of this policy regardless of whether you continue as a paying customer.
3. FERPA Compliance
Retrayce is committed to compliance with the Family Educational Rights and Privacy Act (FERPA). When schools use Retrayce they share student information with us under the school official exception to FERPA. This means:
- Retrayce acts as a school official under the direct control of the school
- We use student information only to provide the Retrayce service
- We do not disclose student information to any third party without prior written consent from the school
- Schools retain ownership and control of all student data at all times
- We will cooperate fully with schools in honoring any FERPA rights requests from students or parents
Note: During the pilot phase schools are encouraged to use minimal student identifiers — first name and last initial or a student ID number — rather than full names where possible.
4. Information We Collect
During the pilot phase we collect only the information necessary to provide the Retrayce service. This includes:
Information provided by educators
- School name and general contact information
- Educator name, email address, and role
- Student identifiers as entered by the educator — we recommend first name and last initial only
- Incident details including type, location, date, and descriptive notes
- Follow-up questionnaire responses
- AI-generated support plans associated with each incident
Information we do not collect
- Student Social Security numbers or government-issued ID numbers
- Student medical or health records
- Student financial information
- Student photos or biometric data
- Student home addresses or personal contact information
We do not currently use third-party analytics tools, advertising trackers, or behavioral tracking software. Basic usage information may be collected to improve the platform during the pilot phase.
5. How We Use Your Information
We use the information we collect solely to provide the Retrayce service during the pilot program. Specifically we use information to:
- Generate AI-powered support plans based on logged incidents
- Maintain incident history and student records for authorized school staff
- Improve the platform based on pilot feedback
- Communicate with pilot participants about the program
- Comply with applicable laws and regulations
We never use student data for: advertising, marketing, building commercial products unrelated to the school's use of Retrayce, or sale or transfer to any third party for any commercial purpose.
6. How We Share Information
We do not sell, rent, or share your information or student data with any third party. The only exception is AI processing — incident details are sent to an AI model to generate support plans. This processing is done solely to provide the Retrayce service and the AI provider is contractually prohibited from using your data for any other purpose.
We may disclose information if required by law or valid legal process. We will notify the affected school promptly upon receiving any such request to the extent permitted by law.
7. Data Security
We take reasonable measures to protect the information processed through Retrayce. During the pilot phase our security practices include:
- Data is stored locally on the school's device during the pilot phase
- AI processing uses encrypted connections to the AI provider
- We do not store student data on external servers during the current pilot phase
- Access to the platform is limited to authorized school staff only
As the platform moves beyond the pilot phase we will implement additional security measures including encrypted cloud storage, access controls, and formal security reviews. Schools will be notified of any material changes to how data is stored and protected.
In the event of a data incident affecting student information we will notify the affected school promptly and cooperate fully with their response.
8. Your Rights
Schools and educators participating in the Retrayce pilot have the following rights:
- Access and review all data associated with your school at any time
- Request correction of any inaccurate information
- Request deletion of your school's data at any time — we will fulfill deletion requests within 30 days
- Withdraw from the pilot program at any time with no penalty
- Request a copy of your school's data before withdrawing
Students and parents have rights under FERPA with respect to education records. These rights are exercised through the student's school. Retrayce will cooperate fully with schools in fulfilling any such requests.
9. Changes to This Policy
As Retrayce moves from pilot to full product this Privacy Policy will be updated to reflect changes in how the platform operates. When material changes occur we will notify pilot participants by email at least 14 days before the changes take effect. Continued use of the platform after that date constitutes acceptance of the updated policy.
We will always maintain our core commitments — never selling student data, never using student data for advertising, and giving schools full control over their data.
